OFFICE 2007 - COMPATIBILITY AND CAMPUS MIGRATION

Microsoft has released Office 2007 for Windows-based systems. While here at Mercy College we are still using Office 2003, many students have already migrated to the new version.

The Office 2007 default format for saved documents cannot be read by earlier versions of Microsoft Office. The new file formats can be identified by the following file extensions:

• Word 2007 extensions are .docx

• Excel 2007 extensions are .xlsx

• PowerPoint 2007 extensions are .pptx

All Faculty computers have been updated with a file compatibility pack which will allow them to use their current version of Office to read the new file formats.

In addition, students using Office 2007 can use the ‘Save As’ feature to save files in earlier Office formats (e.g. .doc, .xls, and .ppt).

STUDENT RESPONSE SYSTEMS INTRODUCED

Clickers, more formally known as student response systems, are becoming increasingly popular in college classrooms across the country and here at Mercy College.

Clickers resemble a simple TV remote control. In the classroom, a faculty member poses a question and students respond by pressing buttons on their clickers.

The clickers interact with a receiver connected to the classroom computer where specialized software tabulates the responses and the result is a graph that can then be displayed to the class.

WEB SITE UPDATE

Addition to Current Student Course Downloads Directory

Just before "insert this record," at the very end of the form faculty complete to upload a document, there is a new field that will need to be completed to upload a document to the Course Downloads.

Note: On documents already uploaded, if neither field is selected the document will appear

The new field appears like this:

Status:

"show this document" or "hide this document"

From this point on, faculty will now need to select "show this document" for the document to upload and appear to students.

Conversely:

If there is a document that is currently uploaded that you would like to temporarily not show, you should

1. Find the document from the admin page,

2. Select the edit button on the top right

3. Go to just before "insert this record," at the very end of the form, to "status" and

4. Select "hide this document".

This will allow you to hide documents from classes that are not being taught next semester but that you will want to use again in the future.

Currently there are 760 documents on the course downloads site. Individual faculty members are responsible for maintaining their documents. Unless individuals delete them, the documents will remain up.


IMPORTANT: After finals please review the uploads that you are responsible for and delete, hide, or leave them up for spring semester.

EMPOWER ME – EMAIL now reporting failed emails

In the past, when emailing students from within EMPOWER ME system, one bad email account would prevent emails from getting to anyone; and you would not know what email address was bad. You would get a message that email was sent but in fact it was not.

Now, if one or more bad emails are encountered, the system will report to you that the email WAS NOT SENT because of invalid email addresses; and you will see the invalid email accounts listed.

You now have two choices:

1. Uncheck invalid email accounts; and resend the message to the rest of the class. Then, report the invalid email accounts to Gary Brock & Lisa Langenderfer.

You will receive confirmation when fixed. Then, send message to those students who had invalid email accounts.


2. Or, first contact Gary and Lisa to report invalid email addresses. They will fix them promptly; and let you know so you can then resend to all students in the class.

You may now access all student emails (as of 12-1-2007) by going to the "M" drive

The path is - M:\MCL Academic\Email_Names.xml If you do NOT find the student that you need to contact, the name has probably been put into the system since the date listed in the title, and most probably is firstinitiallastname@mercycollege.edu.

Don't Shut Down the Computers


REMINDER:

Here at Mercy College we should be locking our computers when we are away from them an extended time. Please never shutdown (power off) your computer.

To lock: Ctrl+Alt+Del & Click Lock Computer button

Remember, however, that your office computer will LOCK itself after 10 minutes, and the classrooms computers will lock after 20 minutes. These are MHP IPS settings, and cannot be changed by the College IS.

In addition, you should REBOOT you computer once-per-week (we suggest Mondays) when you come in, just to develop a "schedule." This clears out any remaining "cobwebs" and unneeded memory information and possibly stuck software. If you do this once per week, this will resolve about 80% of your issues.

Anti-Virus Updates

Maintaining the very latest virus protection is extremely important for Mercy College computers and home computer users. Anti-virus protection at Mercy College is automatically updated. Home computer users should check their anti-virus and keep up to date.

Microsoft Patches

In addition, there are often Microsoft Windows updates that will improve security or performance.

Patches automatically load to your machine when you connect to the network. So as not to disrupt your work, the patches are programmed to install between the hours of 11:00 PM and 7:00 AM. Always leave your computers powered on to receive patches and anti-virus updates.

Laptop Users Only

Laptops must be connected to the network to receive patches and anti-virus updates. Infected laptops may be down for several days if re-imaging is required.
